Before agreeing to host a golf tournament for a favorite local charity, it is important for you to understand the responsibilities that go along with hosting.  Fundraising events bring in a large percentage of the budget for many local charities, and much of the fundraising responsibility lies with the host.  A host is responsible for a lot more than just greeting guests and participants on arrival, they are also responsible for some fundraising activities, promoting the event, arranging tee times around the tournament schedule and much more.

Be Sure You Can Commit Before Saying Yes

The added responsibilities of a host take a considerable amount of time.  Before you agree, make sure your schedule permits that kind of time commitment.  Saying no may disappoint a charity in the short-term, but saying yes and failing in your responsibilities is much worse.  You will need to be ready, willing and able to seek out sponsors for the event.  Sponsors help the charity minimize their costs, so the bulk of the proceeds go back into service activities, not the event.  The host also acts as the liaison between the golf facility and the charity.  It is your job as the host to work with the hosting facility to ensure a space for the event and appropriate tee times.  Scheduling tee times is usually the least onerous of the tasks, but it is important for the smooth running of the event.

Seeing to Guests and Starting Off the Day

After all the pre-planning work, there is also a lot to see to on the day of the event.  The host must be on-hand to welcome guests and keep the event schedule moving.  You will need to check in with caterers and entertainers to ensure things start on-time.  You will also need to co-ordinate with the tournament organizers and players to ensure everyone starts and finishes when scheduled.  Events that run over schedule can cost a charity a lot in unexpected expenses.  Venues are only rented for strictly enforced time frames, making it crucial that things end on-time and clean-up proceeds quickly.  Be sure you are ready to handle all of the parts and pieces of hosting, before you agree.  A golf tournament can be an incredible fundraiser for participating charities, but only when run with precision and attention to detail.
